Privacy Policy

1. The personal information we collect
The types of information we collect depend on how you deal with us, but may include:

  • your name and contact details (email, phone number, and postal or billing address);
  • booking and attendance details, including the workshops you enquire about, book or attend;
  • emergency contact details you provide;
  • billing and payment details, including invoices, payment confirmations and, where you pay by
    card, the limited card information handled by our payment provider;
  • records of our communication with you, including emails, SMS, enquiry forms and booking
    details;
  • photos or video taken during workshops, where appropriate notice and consent apply;
  • feedback, reviews or survey responses;
  • information about how you use our website; and
  • any other personal information you, or someone acting for you, provide in connection with a workshop or enquiry.

2. Health and safety information (sensitive information)
Because our workshops are hands-on and involve tools and physical activity, we ask participants to tell us about any injury, disability, allergy, medical condition, pregnancy, medication or access need that may affect safe participation. This is sensitive information under the Act, so we collect it only with your consent, and only to plan for your safety, make reasonable adjustments and respond in an emergency. We share it only with the people who need it for those purposes, such as your trainer, and we do not use it for any other purpose.

3. How we collect personal information
We may collect personal information when you:

  • make a booking or fill in a form on our website;
  • contact us by phone, SMS, email or through social media;
  • enquire about or attend a workshop;
  • sign up to our newsletter, waitlist or promotions;
  • leave a review or provide feedback; or
  • interact with our website, where cookies or analytics tools record your activity.
    We may also collect personal information from third parties, such as an authorised booking or ticketing platform you use, someone who books a workshop on your behalf (for example a family member or employer), or publicly available sources.

4. Why we collect, use and disclose personal information
We collect, hold, use and disclose personal information so we can:

  • take and manage your workshop bookings and attendance;
  • respond to enquiries, feedback and complaints;
  • plan for participant safety and reasonable adjustments;
  • process payments and issue invoices and receipts;
  • communicate with you about your booking, scheduling and follow-ups;
  • send you marketing or updates if you have opted in, which you can opt out of at any time;
  • improve our workshops, website and customer experience;
  • maintain our records and accounts; and
  • comply with our legal obligations and handle disputes.

5. Disclosure of personal information to third parties
We may share your personal information with:

  • our trainers, employees and contractors who help us deliver your workshop;
  • the venues where a workshop is held;
  • payment processors and accounting or invoicing systems;
  • booking, ticketing, SMS or email platforms;
  • insurers and professional advisers;
  • emergency services, where reasonably necessary for safety;
  • government agencies, regulators, tribunals or courts where required by law or reasonably
    necessary to protect our legal rights; and
  • other third parties with your consent or where the law allows us to.
    Some of these service providers may store or access data from outside Australia, such as in the
    USA, the UK or the European Union. Where practical, we try to work with providers that handle
    data in a way that is broadly consistent with Australian privacy laws, but sometimes we do work
    with providers in other jurisdictions.
    By providing us with your personal information, you consent to this overseas disclosure and
    understand that we are not required to ensure overseas recipients comply with the APPs.

6. Automated decision making and AI
We may use automated systems such as artificial intelligence (AI) or algorithms in our business,
for example to help us schedule workshops, draft communications or respond to enquiries.
Where we do, we aim to be clear when an important decision has been made mainly by
automated tools, we have a human review any decision that has a significant impact on you
where required by law or where it seems appropriate to a reasonable person, and we keep this
section updated as our systems change. Our AI Use Policy sets out more detail.

7. Data security and data breaches
We take reasonable steps to keep your personal information safe from misuse, interference, loss
or unauthorised access, modification or disclosure. Measures we may use include password- protected devices and accounts, reputable cloud-based systems, limiting access to staff and contractors who need the information for their work, and regular backups. However, no system is 100% secure, and transmitting information to us over the internet or by phone is done at your own risk.
If we suspect a data breach that is likely to cause serious harm, we will promptly investigate it, comply with the Notifiable Data Breaches (NDB) scheme where applicable, and notify the Office of the Australian Information Commissioner (OAIC) and affected individuals where required.

8. How long we keep your information
We keep personal information only for as long as we need it for the purposes set out in this
Policy, or as required by law (for example, tax and business records are generally kept for at
least seven years). When we no longer need it, we take reasonable steps to destroy or de-
identify it.

9. Cookies, tracking and analytics
Our website may use cookies, web beacons and similar tracking technologies to help the website work properly, remember your preferences, and understand how people use the site. We may use tools like Google Analytics and social media pixels from Meta to help with this. Cookies do not usually identify you personally, but they may link to other data we hold about you if you contact us or sign up to our mailing list. You can change your browser settings to reject cookies, but some parts of the site may not work properly if you do.

10. Direct marketing

We may send you emails, SMS or other communications about our workshops, updates,
reminders, promotions or special offers. You can opt out of marketing at any time by selecting the unsubscribe option in the communication or contacting us using the details below. We comply with the Spam Act 2003 (Cth) and will not send you marketing messages without your express or inferred consent.

11. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, or ask us to correct it if you think it is wrong, out of date or incomplete. To do this, please contact us using the details

below. We may need to confirm your identity before we respond. In some cases we may refuse access or correction where the law allows, and if that happens we will tell you why.

12. Making a privacy complaint
If you think we have mishandled your personal information, please contact our Privacy Officer using the details below. We will acknowledge your complaint and aim to respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the
Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

13. Doxxing and serious invasions of privacy
We do not support or engage in doxxing, which is publishing someone's personal information online to harass or harm them. We take reasonable steps to protect personal information we collect and to comply with any laws relating to serious invasions of privacy.

14. Links to other websites
Our website may link to other websites, booking or payment platforms and social media sites.
